A job fair is a rare networking opportunity that brings together many employers from different fields to connect with potential employees, usually during the course of one day. Job fairs can be the fast track to getting a job, helping companies fill job vacancies, and solving problems for the community's workforce. To ensure the success of a job fair, you will have to meet the needs of both the job seeker and the company looking for future employees.
Steps
Method 1 of 3: Before the job fair

Step 1. Assemble an organizing committee or a group of people who will be in charge of the job fair, each with a well-defined role
Depending on the size of the job fair, it will be important to have one or more people focused on the following areas: marketing, logistics, volunteers / staff for the event, employer contacts, signage and graphics, secretarial and administrative activities. Perhaps it is convenient to have one or two people as coordinators of the event in general

Step 2. Set a day and time for the job fair at least four months in advance
Create a budget that includes money for the venue and for advertising.

Step 3. Find a location for the job fair and reserve it
Design a detailed diagram of the space and define areas for company stands, registration desks, and concessions, among others to take into account.

Step 4. Invite companies to participate in the job fair
Look for a variety of companies that have job openings so you can meet the needs of a large pool of job seekers. As soon as each company confirms attendance, ask them if they need any special equipment for the fair.

Step 5. Distribute promotional material
Distribute advertising and informational brochures near colleges and universities, and at community meeting points such as cafeterias, libraries, and markets. It is desirable that there is advertising in local and regional newspapers, and specialized magazines. It also contracts press coverage for the day of the fair.

Step 6. Design a professional packet to hand out to attending job seekers when they arrive at the fair
The package must contain a plan of distribution of the stands and the list of companies present.

Step 7. Set up stands at the site
It is convenient to have an interview room or some place away from the booths so that employers can conduct interviews on the spot.

Step 8. A good idea is to place lists of vacant positions at the entrance and at strategic points of the place along with a plan of distribution of the stands

Step 9. Prepare labels to write the name of the attendees and posters for the fair
Method 2 of 3: During the job fair

Step 1. Have the volunteers for the event stand at strategic points to answer questions
It is very important that there are volunteers at the entrances and exits. Periodically ask the representatives of each company if they need anything or if they are having trouble leaving their booths.

Step 2. Film and take photos during the course of the day of the fair so that you can later use them as promotional material for future exhibitions

Step 3. Survey attendees upon leaving to get an evaluation of the fair
Method 3 of 3: After the Job Fair

Step 1. Evaluate attendance and analyze attendee surveys

Step 2. Send thank you notes to the companies about a week after the fair and include a survey so that you also receive evaluation from the employers

Step 3. Share the success of the fair on your website and on social media

Step 4. Meet with the fair organizing committee to discuss what went well at the event and what can be improved next time
